Operations Officer
The Operations Officer will support the efficient and accurate delivery of investment operations, including transaction processing, documentation, reporting and client administration.
About the role
Purpose
The Operations Officer is responsible for coordinating and managing the day-to-day operational activities of Kura Asset Managers Limited to ensure efficient, accurate, and compliant delivery of investment management services. The role supports operational excellence through effective administration of investment transactions, client onboarding, records management, regulatory compliance support, process improvement, and coordination across all business functions. The Operations Officer plays a key role in ensuring that operational processes support business growth while maintaining high standards of governance, internal control, client service, and regulatory compliance.
Responsibilities
Operational Management
- Coordinate daily operational activities across the business.
- Ensure operational processes are implemented efficiently and consistently.
- Maintain operational procedures and process documentation.
- Monitor workflow and recommend process improvements.
- Support implementation of new operational initiatives and systems.
Client Onboarding and Administration
- Coordinate Know Your Customer (KYC) and Customer Due Diligence (CDD) processes.
- Verify client documentation before account activation.
- Maintain complete and accurate client records.
- Ensure timely processing of account opening requests.
- Coordinate periodic client information updates.
Investment Operations
- Support execution and settlement of investment transactions.
- Maintain accurate investment transaction records.
- Coordinate preparation of investment reports.
- Reconcile investment records with custodians, brokers, and banks.
- Monitor transaction processing timelines.
Fund Administration Support
- Assist in the administration of managed funds and investment portfolios.
- Support calculation and verification of fund data where applicable.
- Maintain fund documentation and operational records.
- Coordinate reporting requirements relating to investment portfolios.
Compliance and Risk Support
- Ensure operational compliance with company policies and regulatory requirements.
- Support implementation of internal controls.
- Report operational risks and control weaknesses.
- Assist during regulatory inspections and audits.
- Monitor adherence to operational procedures.
Documentation and Records Management
- Maintain secure physical and electronic records.
- Ensure proper filing of contracts, investment documents, client records, and operational reports.
- Support document retention in accordance with regulatory requirements.
- Maintain confidentiality of company and client information.
Reporting
- Prepare periodic operational reports.
- Maintain operational performance statistics.
- Track service delivery performance.
- Report operational incidents and recommend corrective actions.
- Support preparation of management reports.
Vendor and Service Provider Coordination
- Liaise with custodians, banks, brokers, auditors, regulators, and other service providers.
- Monitor service delivery by outsourced providers.
- Coordinate operational meetings where necessary.
- Follow up on outstanding operational matters.
Process Improvement
- Identify opportunities to improve operational efficiency.
- Participate in automation and digitization initiatives.
- Recommend enhancements to operational controls.
- Assist in implementation of new operational systems.
General Administration
- Coordinate office operational activities.
- Support procurement of operational requirements.
- Maintain inventory of operational resources.
- Perform any other duties assigned by Management.
What we're looking for
- Minimum 3 years' experience in operations within an asset management company, investment firm, bank, pension fund or other regulated financial institution.
- Bachelor's degree in Business Administration, Finance, Accounting, Economics, or a related field.
- Experience in operations or financial services.
- Strong analytical and organisational skills.
- High attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
